EXHIBITOR TERMS
§1 Definitions
In these participation terms, the following definitions apply:
- “Festi Ummah” / “Event”
The community & cultural festival “Festi Ummah” - “Organizer”
Deniz Ormanci, Bismarckstraße 38, 52249 Eschweiler - “Exhibitor”
Any natural or legal person who books or enquires about a stand - “Contract” / “Agreement”
Agreement on the Exhibitor’s participation in Festi Ummah - “Stand area” / “Exhibition area”
The area assigned for the Exhibitor’s use
§2 Scope
These General Terms and Conditions form part of the Agreement and apply to all related legal transactions between the Organizer and the Exhibitor. The Organizer expressly excludes the applicability of any specific or general terms and conditions of the Exhibitor or third parties.
§3 Event dates & opening hours

The Organizer may change opening hours for organizational or safety-related reasons.
§4 Conclusion of contract
A contract is only formed upon written confirmation by the Organizer.
The Organizer may reject applications without giving reasons, for example in case of:
- capacity-related rejection
- content that does not fit the event profile
- community or ethics violations
§5 Obligations of the Organizer
The Organizer shall provide for:
- Organization & execution of the festival
- Allocation of stand areas (where possible according to preference)
- Provision of standard areas
- Security & supervisory staff
- Administration & contact persons during the event
The Organizer may change the stand position if necessary (fairness, walkways, safety).
§6 Obligations of the Exhibitor
The Exhibitor must pay the participation fee in accordance with §11. The Exhibitor must set up and dismantle the rented stand on time in accordance with §7. The Exhibitor must use the allocated stand exclusively for exhibition purposes and must supervise the stand during the opening hours of the fair, either personally or through staff. The Exhibitor is prohibited from exhibiting goods on behalf of third parties and/or showing or distributing third-party promotional materials within the allocated stand. Outside the allocated stand, any exhibitions, advertising activities and/or commercial transactions of any kind are prohibited. The Exhibitor must follow the instructions of the Organizer, its team and security staff. The Exhibitor must ensure that the stand design as well as the goods and services exhibited comply with all applicable laws and regulations, including fire safety regulations, municipal ordinances and the venue’s house rules.
The Organizer reserves the right to instruct the Exhibitor to change the stand design where appropriate, whether in the interest of the exhibition or due to the laws and regulations mentioned above. The Organizer is entitled to have changes to the stand carried out by the contracted stand-builder. The Exhibitor bears the associated costs. The Exhibitor is responsible for the conduct of all persons designated by them or working under their supervision. Exhibitors are not permitted to distribute flyers or advertise products outside the designated area. In case of violation, a warning will be issued; in case of repeated violation, entry to the exhibition may be denied. The Organizer is entitled, at its own discretion, to remove from the exhibition area any persons who endanger or threaten to endanger public order and tranquillity or who violate generally accepted rules of decency and good manners.
The Organizer, its team and security staff have free access to all stand areas at all times in order to carry out inspections or work in the interest of the exhibition. In such cases, the Exhibitor will fully cooperate to minimize undesired publicity for the exhibition and/or the Organizer.
§7 Set-up & dismantling
Times will be announced before the event.

§8 Cancellation / postponement by the Organizer
The Organizer may, at its own discretion, cancel, relocate or postpone the fair for compelling reasons by notifying the Exhibitor verbally and/or in writing. In the event of a relocation or postponement, the Exhibitor is bound by it. The Organizer is in no way liable for damages incurred or to be incurred by the Exhibitor and/or third parties as a result of the cancellation, relocation or postponement. In the event of cancellation, the Organizer will not refund participation fees already paid. In cases of force majeure, the provisions of §15 apply, and the Exhibitor has no claim to a refund of participation fees already paid. The Organizer recommends that the Exhibitor ensure that their insurance includes a cancellation clause.
§9 Cancellation by the Exhibitor
Exhibitor cancellation:
- up to 3 months before: free of charge
- up to 2 months before: 50% fee
- less than 2 months: 100% fee
Special arrangements possible if the spot can be re-allocated.
§10 Prices
All prices and fees of the Organizer are stated in Euros and exclude VAT. The participation fee includes the cost of the stand space, the rental of the exhibition area and all additional services agreed in writing. Not included are costs for transport, loading and unloading, set-up of exhibitor materials, travel and accommodation costs during stand use, and additional stand equipment such as furniture, display cases, decorations and additional lighting. The Organizer reserves the right to pass on cost increases, including in the price factors, to the Exhibitor in the form of a price increase. If such a price increase occurs within one month of contract conclusion, the Exhibitor has the right to terminate the contract without notice. No rights can be derived from the prices stated on the website.
§11 Payment
Payment is due immediately upon invoicing.
Exhibitors who fail to pay may be excluded from the event.
§12 Liability of the Organizer
The Organizer assumes no liability for damages caused by acts or omissions of the Organizer, its employees or third parties under its supervision during set-up and dismantling, the duration of the fair, or in any other connection with the fair. This includes in particular loss, theft or damage to material of the Exhibitor or third parties; damages caused by power failures, voltage fluctuations and interruptions of heating and lighting; injuries of the Exhibitor or third parties in connection with the fair; as well as consequential damages of the Exhibitor or third parties, including losses due to delays, business interruptions, financial losses and immaterial damages. The Organizer is also not liable for the content of the message conveyed by the Exhibitor during the fair.
If the Organizer is nevertheless held liable, its liability towards the Exhibitor is at all times limited to a maximum of ten percent of the agreed participation fee.
§13 Liability of the Exhibitor
The Exhibitor is liable for all damages caused in any way by acts or omissions of the Exhibitor and/or their employees or third parties under their supervision during set-up and dismantling, the duration of the exhibition or in any other connection with the exhibition. This includes in particular damage to stand material and/or injuries of persons in the exhibition area during the said period.
§14 Indemnification
The Exhibitor indemnifies the Organizer against all third-party claims of any kind, including damages, costs and interest. In particular, the Exhibitor indemnifies the Organizer against all third-party claims related to the Organizer’s use of the Exhibitor’s texts and/or images, including third-party claims for (alleged) infringement of intellectual property rights and/or advertising regulations. The Exhibitor further indemnifies the Organizer against all third-party claims of any kind related to loss, theft or depreciation of goods and/or damages and/or injuries of persons in connection with the fair.
§15 Force majeure
If the Organizer is unable to fulfil its obligations to the Exhibitor due to an event not attributable to it, performance of these obligations is suspended for the duration of the force-majeure event. Force majeure covers all circumstances beyond the Organizer’s control which prevent or make unreasonably impossible the fulfilment of its obligations to the Exhibitor, in whole or in part, regardless of whether the circumstances were foreseeable at the time of contract conclusion. Such circumstances include in particular emergencies (such as extreme weather conditions, fire and lightning strikes), strikes, illness, epidemics and pandemics, non-performance of obligations by suppliers on which the Organizer depends for performance of the contract (including the operator of the exhibition area and the stand-builder), burglary, telecommunications disruptions and/or instructions of competent authorities. If the force-majeure situation lasts longer than thirteen months, both parties have the right to terminate the contract in whole or in part by registered mail, provided that the force-majeure situation justifies this. The Organizer will then refund 50% of the participation fee to the Exhibitor.
§16 Insurance
Materials of exhibitors and third parties, as well as transport costs, delays, loss, theft, damage and depreciation of these materials, personal injuries and consequential damages, are not covered by the Organizer’s insurance, and the Organizer is not liable for these. The Organizer strongly recommends that exhibitors take out their own appropriate insurance.
§17 Default of payment / termination
If the Exhibitor fails to fulfil their obligations under this contract properly or on time, they are in default without further notice. The Organizer is entitled to suspend performance of the contract until the Exhibitor properly fulfils their obligations, and/or to terminate the contract in whole or in part without refunding invoices already paid. In the event of a (provisional) suspension of payments, bankruptcy, closure or dissolution of the Exhibitor’s business, the contract with the Exhibitor ends automatically.
§18 Partners / co-branding at the stand
Exhibitors must obtain the Organizer’s prior written approval for all parties represented at the stand, including partners and suppliers. This applies to all parties visibly present with a logo or other name, as well as to any other presence in the broadest sense. The Organizer reserves the right to review approval for each party individually. The decision will be communicated to the Exhibitor in writing in advance. If the Exhibitor has not obtained the Organizer’s prior approval for the participation of parties, they risk these parties being removed from the stand. In addition, the Exhibitor faces a fine of €1,500 per unreported party. Without the Organizer’s written approval, the participation of third parties unknown to the Organizer is strictly prohibited.
§19 Amendments and additions
Amendments and additions to individual provisions in an agreement and/or in the General Terms and Conditions are only valid if they have been recorded in writing by the Organizer and refer exclusively to the agreement in question.
§20 Stand construction / presentation
Guidelines:
- family-friendly design
- no music / DJ
- product display aesthetic & safe
- advertising & content must not violate community ethics
Individual stand-construction plans must be submitted in advance.
§21 Food vendors
Food exhibitors must:
- meet legal hygiene requirements
- only offer halal-compliant food
No food vendor is permitted to sell hot or cold drinks. If the organizers detect this, the vendor in question will be excluded from the festival.
§22 Transfer of rights
These General Terms and Conditions and the contract are subject to German law. All disputes arising from the contract or these General Terms and Conditions will, unless otherwise provided by law, be decided by the competent court in Aachen.
§23 Jurisdiction & applicable law
German law applies.
Place of jurisdiction: Aachen.
Final clause
By registering, the Exhibitor accepts these terms.
